The Zavala Winter Gauntlet!

STARDATE 2026.10 // GREATER HOUSTON & REGION 3

November and December are packed with dual fan conventions, community outreach, and holiday festivities. We cannot complete these missions without your help. Below is your complete mission briefing and action guide:

๐Ÿ•น๏ธ

1. Houston Arcade Expo 2026

โฑ๏ธ Booth Operating Hours
Friday, Nov 13 12:00 PM โ€“ 8:00 PM
Saturday, Nov 14 10:00 AM โ€“ 10:00 PM
Sunday, Nov 15 10:00 AM โ€“ 3:00 PM
Sunday Teardown 3:00 PM โ€“ 10:00 PM
Main Floor Atmosphere: Our booth is in the main convention area, meaning we will likely be open whenever the con is open! Activities, tournaments, and concerts run until 2:00 AM, so evening shifts may flex with the late-night crowds. (Currently, we assume closing at 8pm or 10pm depending on the night, but we won't know until the con starts.)
Thursday Setup Help Needed: Setup begins Thursday afternoon, Nov 12. We need volunteers to help load gear at the storage unit and set it up at the hotel. Please sign up for the "Booth Set-Up" slot in LCARS!

2. Nerd Con 2026: Honoring Earl

Why This Mission Matters: Prior to his passing, Earl "Butch" Simon committed our chapter to attending Nerd Con. To honor his promise, Julie will be bringing the Captain's Chair for fans to take photos in.

Note on Transport: The current plan is that Sam will drive it there Friday and pick it up Saturday, but it would be ideal to have another truck to transport it in so Sam can focus on Arcade Expo. Reach out to Melissa or Sam if you are interested in helping.
๐Ÿ’ช Heavy Lifting & Staffing Needs
Friday Setup (Nov 13 @ 4:00 PM) Min. 4 Crew (Heavy Crate)
Saturday Day-Of (9:00 AM โ€“ 5:00 PM) 2โ€“4 Folks to Trade Off
Saturday Take Down (Nov 14 @ 5:00 PM) Heavy Lifting Crew

The Vibe: Aside from the physical lift during setup/teardown, Nerd Con is a relaxed, fun, family-friendly outdoor park con with great actors and vendors!

3. Texas Renaissance Festival Away Mission

Temporal Away Mission: Dust off your cloaks, leather boots, and Starfleet badges! We are coordinating our annual crew outing to TRF. We need all attending crew to fill out the quick survey below so we can lock in dates, headcount, and carpools (departing from Cypress, Spring, and Inner Loop).

4. Kids' Meals Community Service

Mission Status: Wendy is currently coordinating with Kids' Meals to lock in our chapter's volunteer slot targeting Saturday, December 5.

What's Next: As soon as the date is confirmed, we will launch the volunteer roster for both in-person meal assembly and at-home decorated lunch bag crafting!
๐ŸŽ„

5. Operation Holiday Quarters: Venue Hunt!

Weโ€™ve officially outgrown home parties! Chapter attendance is booming, so we need a hall, clubhouse, or community room for our feast and annual Ferengi Gift Exchange. Time is running out to book for December as dates across Houston are filling fast!

How You Can Help: Can you sponsor your neighborhood HOA clubhouse, or volunteer to make 1 or 2 quick phone calls to a local community center? Message Melissa right away if you have any confirmed leads!
